What OnDue does with an overdue invoice.
Six jobs, start to finish, and exactly which parts are live today. Each one is something you or your bookkeeper does by hand now, usually on a Friday afternoon, usually late.
Your books stay where they are
Sign in to QuickBooks Online or Xero from OnDue. You never give us your accounting password, and you can revoke access from QuickBooks or Xero whenever you like.
OnDue imports your open invoices, customers and contacts, and syncs every 15 minutes to pick up new invoices and payments. You keep invoicing the way you do now. If a balance in OnDue and your books disagree, reminders for that invoice are held until they match.
QuickBooks Desktop isn’t supported. NetSuite, Sage Intacct and Business Central are Coming soon
Your schedule, with each email written for the moment
A cadence is a list of days and a tone for each. Early-access accounts run the standard one below. On each step, OnDue drafts the email from the invoice and where it is in the cadence, so reminder three reads like a follow-up, not a copy of reminder one.
The AI never decides when to send. That’s the cadence. Gentler, firmer and fully custom cadences, sending hours and a reminder before the due date are Coming soon
Every reply read, sorted and acted on
Replies to OnDue’s reminders come back to OnDue, so they don’t sit in an inbox you have to watch. Each one is sorted, and the invoice is held, paused or handed to you. Nothing in this step ever emails a customer by itself.
- Promise to pay
Records the date and holds that invoice until then. If the money doesn’t arrive, the cadence picks up again.
- Dispute or question
Pauses chasing on that invoice and brings it to you with the customer’s words attached. A question about a PO number or a line item needs a person who knows the job. Their other invoices carry on.
- Already paid
Pauses reminders on that invoice and flags it for you to check against your books, so nobody gets chased for money they sent.
- Wrong contact
Pauses the invoice and asks you for the right person.
- Out of office
Doesn’t count as an answer. If they give a return date, the next reminder waits until then.
- Anything unclear
Comes to you instead of getting a best guess. So does any reply the AI isn’t confident about.
Every reminder waits for your OK
Each draft is written from the invoice and which step of the cadence it is. Every one waits for you: approve it, skip it, or approve the whole batch. Each decision is recorded with who made it and when.
Editing a draft before you approve it, and an automatic mode that sends without approval, are Coming soon Until then, nothing reaches a customer without a person saying yes.
One list for the invoices that need a person
When a customer pushes back, chasing that invoice pauses and it lands in your replies list with their words. Fix the problem with them, then resume chasing when it’s sorted.
Their other invoices aren’t held hostage. A dispute about October doesn’t stop the reminder for September.
You can also stop chasing any invoice, or every invoice for a customer, with a note saying why. OnDue keeps the record of who stopped it.
Paid in your books, chasing stopped
When a customer pays and you record it in QuickBooks Online or Xero, OnDue sees it on the next sync and the reminders for that invoice stop. Just before any reminder goes, OnDue reads the invoice in your books again, so a payment recorded a minute ago still counts. There’s no second ledger to reconcile.
Coming soon A pay page linked from every reminder: your customer pays by bank (ACH) or card through Stripe without creating an account, at Stripe’s standard rates with no OnDue fee, and the payment is written back against the right invoice.
Matching bank deposits to invoices automatically (bank-feed cash application) is Coming soon
Questions
Does OnDue change my invoices?
No. It reads invoices, customers, contacts and payments from QuickBooks Online or Xero and changes nothing there today. Writing pay-page payments back to the right invoice is coming soon, with the pay page.
Can I set different cadences for different customers?
Not yet. Custom cadences, including per customer, are coming soon. Today every account runs the standard cadence, and you can stop chasing any invoice or customer.
Who do reminders come from?
From your business, by name, sent by OnDue. Replies come back to OnDue to be sorted, and anything that needs you shows up in your queue.
What if the AI gets a reply wrong?
It can. That’s why anything it isn’t confident about comes to you instead, why every reminder waits for your approval, and why every approval and skip is recorded with who made it and when.
Does it send texts or make calls?
Not today. SMS and WhatsApp reminders are coming soon, once we can capture your customers’ consent properly. OnDue does not make phone calls.
Next time an invoice goes late, let OnDue draft the first email.
